Preparation for exhibition |
Preparatory work carried out by the exhibitor. While preparing for the exhibition, the exhibitor should pay attention to the following necessary points:
- determination of the goals and problems, that are necessary to realize in the exhibition process
- budget planning (exhibition space costs, equipment costs, costs of work with visitors, labour costs)
- determination of the stand type and its location
- selection of presentation exhibits
- planning of advertising and presentation events, promotion actions, holding of seminars during the exhibition
- coordination and instruction of company’s workers – workers’ tasks, liabilities and timetable. We advice you to solve issues concerning nutrition and, if it is necessary, accommodation of company’s employees
- preparation of information materials: advertisement booklets, cards, prices. It would be better to divide polygraph’s productions for categories: not very expensive materials for distribution between occasional visitors and more expensive materials for visitors who shows a real interest and leaves their surname and a address
- summing up the results of the exhibition

Transportation of exhibition goods |
You may need a special transport for delivery of volumetric exhibits and you will have to control the whole route – from container unloading to the stand.
Please, order transport in convenient time and don’t forget about redelivery.
Upon the closing of the exhibition, please, organize the transport and removal of the exhibits. Take care that the freight is thoroughly dismantled and packed.
Do not forget to clarify with the exhibition manager the schedule of exhibits delivery and taking-out beforehand, because the installation and setting-up of the large-scale equipment takes more time. If the exhibition is held abroad you will need to take care of customs formalities, safe freight transportation and if it is necessary trade permission.
Despite the presence of the press, you should have some photos which can be used then for publication.

It is certain that the more attractive the exhibits are, the sooner they will draw the visitors’ attention. The external exhibit’s view can be improved by situating them next to attractive thing or by situating them on a nice material (fur, velvet, shimmy). Fito-design also can be used. Stand’s light plays also an important role. We advise you to determine, whether there will be a public access to the exhibits or they need to be complementary insured against any accidents (damage and theft).
It is necessary to organize stand cleaning. The dust and fingerprints will not decorate your stand. As usual, the organizers clean the passage, but you have to take care about the stand yourself, you should employ workers for every day stand cleaning. |

How to attract the visitors to your stand? |
There are a lot of methods to attract the visitors’ attention. One can apply to tried-and-true advertisement methods as well as use own imagination. Here are the simple methods, which are tested by our experience and also are recommended by a lot of advertisement specialists:
- To distribute invitations to the company stand among the potential customers
- To move the souvenir talon or lottery talon by the invitation, or propose to take part in a lottery among the visitors.
- To order a sound advertisement in an exhibition publication’s service (don’t mix up with sound advertisement on a stand, which, as usual, disturbs other exhibitors).
- To give the advertisement in exhibition’s newspaper that is distributed free of charged among the exhibition visitors
- To give the advertisement in official exhibition catalogue ( that is distributed among branch specialists and exhibitors and that will be used as a reference book for a long time after the exhibition).
- To demonstrate the models or exhibits in action.
- To invite the visitors to your stand on the exhibition entrance or distribute the invitations with not only number of stand, but with its view.
- To offer a hot tea (coffee), biscuits to the visitors.
- To hold a presentation of a new good, the seminar, the conference or press-conference with a famous branch specialists.
- To organize the competitions and shows, related to the company or the exhibition.
- To take pictures of the valuable clients on the view of brand-emblems.
- To use the items with a brand-emblems as souvenirs.
- To use the firm cloth or the cloth in the same style.
